Job Summary:
We are seeking a highly professional, proactive and resourceful Executive Assistant to support our company’s Chief Executive Officer. The ideal candidate thrives in an entrepreneurial setting that is also fast paced, can anticipate needs before they arise and has a strong business acumen. This role serves as a trusted partner to the Chief Executive Officer while holding utmost discretion and professionalism in all situations.

Key Responsibilities:
  • Provide comprehensive and professional administrative support to the Chief Executive Officer with utmost precision.
  • Manage Chief Executive Officer’s calendar including scheduling and meeting logistics (location, catering, materials, etc.).
  • Manage communication (internal and external) on behalf of the Chief Executive Officer.
  • Coordinate domestic and international travel arrangements, including detailed itineraries and logistics.
  • Serve as liaison between the Chief Executive Officer and cross functional teams, external partners, clients and more.
  • Organize and support executive meetings, leadership meetings, and special events.
  • Handle preparation, format, proofread, print, and distribute for various presentations, reports, and business correspondence and ensure all content is produced with exceptional accuracy and attention to detail.
  • Manage expense reports and related administrative functions.
  • Handle sensitive and confidential information with absolute discretion and professionalism.
  • Anticipate executive needs and proactively resolve issues before they arise.
  • Assist with ad hoc requests, including office support, and occasional lunch or errand coordination.
  • Take on special projects as needed regarding office operations (office events, project support and more).
Qualifications:
  • 7-10 years’ experience of being an Executive Assistant supporting Chief Executive Officer.
  • Associate’s Degree in Business Administration or related field. Bachelors degree in a business-related field is preferred.
  • Demonstrated successful record or achievement in supporting Chief Executive Officer with accuracy and precision in all aspects of the role.
  • Experience in the medical device or healthcare industry preferred.
  • Demonstrated ability to operate as a proactive business partner while maintaining excellence in day-to-day executive support.
  • Exceptional prioritization and organizational skills with the ability to manage multiple competing demands.
  • Proven demonstration to maintain professional composure with high confidentiality, well poised and handle high pressure situations.
  • Strong communication (both written and verbal) and presentation skills, with the ability to effectively convey complex information.
  • Proactive, self-motivated, organized and able to work independently as well as part of a team.
  • Demonstrated experience in creating and refining executive level presentations and documents.
  • Strong business acumen, intellectually curios, with an interest in understanding the business and context behind executive priorities and obligations.
  • Exceptional problem-solving and critical-thinking abilities, with the capacity to make quick decisions in high-pressure situations.
  • Technology/Computer skills: intermediate level skillset for Microsoft Office Suite including Powerpoint.
Schedule:
  • This role is on-site in Baldwin, NY and scheduled to move to Woodbury, NY before December 2026.
  • Monday to Friday; 800am – 5:00pm.
  • The ideal candidate is one who is flexible with their schedule during weekday after-hours or weekends when urgent business matters arise.
Salary range is $95,000- $105,000/annual USD base.
